Stop Doing the Same Admin by Hand
Our AI workflow automation takes over the steps your team repeats, in tools that connect your apps, such as Zapier, Make or n8n. Fixed rules do most of the work, and AI steps in only where a rule can't, such as reading an email.
Where your operations team loses its hours
Most operations work is the same few steps, repeated: copy a detail from one tool to the next, chase a follow-up, sort an inbox. Each one is quick. Together they take the hours your team needs for work only people can do.
-
“We copy the same details from one tool to the next.”
A workflow passes the details on as soon as something happens, so nobody types them twice.
-
“Every request lands in one inbox, and someone sorts it by hand.”
An AI step reads each request, labels it and sends it to the right person or workflow.
-
“Our automations break, and nobody notices.”
Failed runs alert a named person, and are run again once the cause is fixed.
The admin your team repeats every day
Those make the best first workflows, because the time saved shows up quickly. These are the ones we build, and where we have done it.
-
Recurring admin on a live platform
Workflows already in your n8n account, reworked so your team does less of the admin by hand.
Practice PPE Exams: n8n workflows -
Leads and follow-ups around your CRM
A new lead goes into the CRM, and the next step starts on its own when the record changes.
Acris: Zapier workflows -
Inbox and request sorting, with AI
An AI step reads each email or form, labels it and sends it to the right person or workflow.
-
Summaries your team reads
A short summary of what happened in your tools, written by an AI step and sent where your team already reads.
-
Moves from Zapier to Make, n8n or code
Workflows moved one at a time, with nothing missed, when Zapier's per-task charges get too high or the logic gets too complex for it.

Workflows in your own accounts, mapped and watched
You get working workflows in your own n8n, Make or Zapier account and a written map of each one. Alerts tell you when a run fails, and the handover is one your team can follow.
-
Workflows that run on their own
Each one starts from a trigger in one tool and finishes the steps in the others.
-
A written map of each workflow
What starts it, what it does, and what a person still decides.
-
AI steps with a person behind them
Where an AI step reads or drafts, a person reviews what it is unsure of.
-
Access kept tight
Apps connected with only the access they need, in your own accounts, with no shared logins.
-
Alerts and a run history
Failed runs alert a named person, and are run again once the cause is fixed.
-
A handover your team can follow
Clear names and written notes for each workflow, and a walkthrough.
Pilot-first
Practice PPE Exams: n8n workflows reworked on a live platform
Pilot-first: we start with a small pilot on your own data, priced up front, before any full build. Here is workflow work we have already done. Practice PPE Exams helps engineers in Canada prepare for their licensing exams, on a WordPress subscription platform. n8n was already in place, but recurring operations still relied on manual steps. Provis reworked the existing workflows, so recurring admin needs fewer manual steps. Every change was tried on a private copy of the site (staging) first.
- Built
- The existing n8n workflows reworked, in Practice PPE Exams' own accounts, with the setup and workflows documented for the client's team.
- What it shows
- n8n work on a live platform. These workflows have no AI step: the AI study tools on the site are Practice PPE Exams' own products.
How an AI workflow works
An AI workflow is a set of steps that runs on its own when something happens, such as a form being sent or an email arriving. Most steps follow fixed rules. An AI step is added only where a rule cannot do the job, such as reading free text, and a person checks what it is unsure of.
-
Trigger
Something happens in one of your tools: a form, an email or a record change.
-
Rules
Fixed steps do what a rule can, such as looking up the contact.
-
AI step
Where free text has to be read or a reply drafted, an AI model does that one step.
-
Your systems
The workflow updates your CRM, helpdesk or spreadsheet.
-
Review
A person approves what the AI step was unsure of, and every run is logged.
- Trigger An enquiry form is sent from your website.
- Rules Looks for the sender in your CRM: no match, so a new contact is created.
- AI step Reads the message: a quote request, for the sales team.
-
Your systems
Creates a follow-up task for the sales team in your CRM -
Your systems
Sends them your welcome email - Review The AI step was sure of its label, so nobody had to check it. The run is logged.
Had the message been unclear, the workflow would have asked a person to label it before going on.
We fix what breaks when one of your apps changes
We automate around the tools you already run, in your own accounts, and stay on after launch.
-
Workflows running for clients
n8n workflows reworked for Practice PPE Exams, and Zapier workflows built around Acris's CRM.
-
Built around your tools
We connect the tools you already run through workflows and your own database, instead of replacing them.
-
Support after launch
Error alerts, run history checks and fixes when one of your apps changes.
-
Hours that overlap yours
We work on India Standard Time (IST): 4.5 to 5.5 hours ahead of London and 9.5 to 10.5 ahead of New York.
When a workflow fails, a named person hears about it
A workflow that runs on its own has to fail loudly, not quietly. We agree with you what each one may change, keep a person on anything an AI step is unsure of, and watch every run.
On every workflow we build
- Each workflow tested on sample records before it is switched on.
- A person approves what an AI step is unsure of; fixed rules handle the rest.
- Failed runs alert a named person, and are run again once the cause is fixed.
- Apps connected with only the access they need, in your own accounts.
Your most repeated workflow first, then the next
We automate the workflow your team repeats most, and move to the next once the first has proved itself.
The tools we build workflows with
Standard, widely used tools, so another team could take the work over. We pick the tool by the workflow. Zapier suits a few steps between apps it already connects. Make or n8n suit workflows with many paths, repeated steps or a high number of runs, and n8n can run on your own server.

Questions about AI workflow automation
What is AI workflow automation?
Workflows that run on their own when something happens in your tools, with an AI step where a fixed rule cannot do the job, such as reading an email or drafting a reply. The other steps stay as plain rules, which cost less and are easier to check.
Should we use n8n, Make or Zapier?
It depends on your workflows. Zapier suits workflows of a few steps between apps it already connects, which your team wants to change without a developer. Make and n8n suit workflows with many paths, repeated steps or a high number of runs, and n8n can run on your own server. We tell you which fits after the first call.
Do you work as an n8n automation agency, or only with Zapier?
We build with n8n, Make and Zapier. For Practice PPE Exams we reworked the n8n workflows already running on its live learning platform, and for Acris we built Zapier workflows around its CRM. Where an app has no connector, we write the integration in Node.js or Laravel.
Can you fix workflows someone else set up?
Yes. We go through the run history, find the workflows that fail, run twice or no longer do anything, fix them, give them clear names and write down what each one does, so your team can follow them. At Practice PPE Exams, the n8n workflows we reworked were already in place.
Where does AI actually help in a workflow?
Where a step has to read or write free text: sorting incoming emails, pulling details out of a message, summarising a long thread or drafting a reply for a person to send. Where a fixed rule can do the step, we use the rule, because it costs less and is easier to check.
What happens when the AI step gets it wrong?
The workflow asks a person whenever the AI step is unsure, and nothing it drafts goes out without approval unless you decide otherwise. Every run is logged, so you can see what the AI step read and what it decided, and we change the step if it keeps getting a case wrong.
What happens when a workflow fails?
A named person gets an alert, and every run stays in the run history, so nothing fails quietly. Under a support plan we find the cause, fix it and run the failed records again, so no record is lost between your tools.
Is our data safe?
Each app is connected with only the access it needs, in your own accounts, with no shared logins. With hosted models from OpenAI or Anthropic, the text an AI step sends is processed by that provider. With open models that run on your own servers, it stays inside your network.
Who owns the workflows?
You do. We build them in your own n8n, Make or Zapier account, or a team account you own, so the workflows, the connected apps and the run history stay with you. Any code we write goes into your own code repository, and you can remove our access at any time.
How much does AI workflow automation cost?
It depends on the number of workflows and steps, the apps involved, any AI steps and the support you want after launch. Tell us the work you want automated, and within two working days we come back with an approach, a rough timeline and a rough number. Your workflow tool's plan is billed separately.
How long does it take?
It depends on the number of workflows, the tools and any AI steps. We start with the workflow your team repeats most, so you see it working before we build more. We agree the timeline at the discovery call.
How much time will automation save us?
We do not promise a figure before we have seen your work. At the discovery call we look at how often each task happens and how long it takes by hand, and pick a first workflow where the time saved will show up quickly. After launch, the run history shows how often it ran.
Do you work with UK and US clients from India?
Yes. We sign an NDA before we start, on request, and work only in the accounts you invite us into. The workflows stay in your own accounts, and you can remove our access at any time.
